2017 UCI DCE Summer Housing Assistant Job Description

Summer Housing Assistants will serve the needs of international students participating in Summer Session and various University DCE International Programs including variable-length professional custom designed programs.  Summer Housing Assistants will be responsible for the management of residence halls when programs are present, and will perform administrative tasks and projects between programs.  The following job description outlines the functions of a Summer Housing Assistant. While this description is general enough to apply to all HAs, individual HAs may be expected to perform additional functions that meet the specific needs of a given community, hall, or house.

 

Administration

  • Prepare apartments and residence halls for the arrival of students including setting up kitchens and preparing and delivering door tags and welcome kits.

  • Prepare for move-in and move-outs by compiling paperwork, creating binders, and completing key inventories.

  • Conduct apartment walkthroughs and assist International Programs and Summer Session staff with move-in and move-out of residents.

  • Conduct regular walkthroughs of apartments and residence halls to identify maintenance, custodial and safety/security issues. When necessary, inform Resident Advisor or other community staff members.

  • Perform custodial duties such as folding and distributing linens, removing trash, etc.

  • Complete, maintain and transport inventory of housing supplies.

  • Work in the Housing Office.  Assist with administrative tasks (responding to emails, processing paperwork, making notices, preparing for check-ins and checkouts, etc.). Provide customer service support at the front desk.

  • Complete various administrative tasks accurately, completely and promptly (such as weekly reports, incident reports, maintenance requests, etc.).

  • Meet supervisor as scheduled to communicate general problems and concerns influencing students and the community.

  • Attend weekly staff meetings (time to be determined), attend scheduled staff training, and participate in required staff activities.

  • Maintain professional working relationships with other staff members.  Work to resolve concerns or conflicts with other staff. Discuss situations with supervisor as appropriate.

  • Support housing coordinator in her responsibilities and be available to fulfill office, duty and on-call assignments as directed.

  • Fulfill other assignments, duties and projects as directed by housing coordinators.

 

Community Development

  • Develop positive relationships of trust by communicating with residents on a weekly basis and support the diverse populations in communities by advocating for their individual needs.

  • Be sensitive to the needs, concerns and problems of the residents.  Demonstrate sensitivity to differences in lifestyle and ethnic/cultural background.

  • Encourage positive interaction between residents to build community in a limited time frame.

  • Plan, develop and implement a variety of social, cultural, academic and recreational programs for the residents in an effort to meet students’ needs and interests.

  • Assist the professional and other student staff in meeting the needs of the community. 

  • Conduct community meetings.

  • Mediate conflicts between roommates or within the community. Help resolve other concerns or conflicts that may arise.

  • Understand and participate in disaster response procedures. Manage crisis in a proactive manner and respond immediately to safety and health emergencies from residents.

  • Maintain confidentiality.

 

 Policy Education & Resource and Referral

  • Act as a facilitator, giving assistance and guidance to students in need.

  • Maintain general awareness of the full range of DCE, Summer Session and campus services including, but not limited to, personal, financial, health, safety, academic, recreational, and vocational.

  • Refer residents to resources when appropriate.

  • Make literature and communications regarding resources available to residents on a routine basis.

  • Understand Housing, DCE and UCI policies and guidelines and educate residents on these policies and guidelines, their rationale, and the conduct process.

  • Consistently respond to behavior which is inappropriate or in violation of Housing, DCE or UCI policies.

  • Document and communicate incidents to appropriate professional staff. Promote safety and security by completing routine walkthroughs of apartments and residence halls..

 

Scheduling

  • Applicants must commit to the entire duration of the employment period (June 2017 – September 2017).

  • Work hours may vary throughout the summer according to program needs. Housing Assistants may be required to work as few as 5 hours per week and up to 40 hours per week. Housing Assistants must remain flexible to schedule changes.

  • Be regularly available to residents, especially on weeknights and weekends. Schedule and communicate set hours where you will be home and available to assist residents.

  • Carry an on call duty cellphone on a weekly rotation and respond to resident concerns and emergencies.

  • Provide coverage on evenings, weekends and holidays as assigned.

  • Be present in the residence halls in the evenings on a weekly rotation to plan and execute programs and build community with the international residents.

  • Unless assigned to a specific residence hall, HAs are not restricted to the premises while on duty, but must be available to quickly respond to resident’s needs.

  • Respond to situations with sound and sober mind while on duty.

  • Avoid conflict of interest situations as a result of employment or extra-curricular activities.

  • During periods when HAs are not responsible for residential programs, they may be assigned office responsibilities and projects.

  • Inform supervisors in advance of any extended absence from campus (such as a weekend or special event).

 

Leadership

  • Have good interpersonal and public relations skills and be customer-service oriented.

  • Display attitudes and behavior which support the policies and philosophy of Housing and UCI.

  • Uphold and follow all Housing and DCE policies.

Compensation

  • Housing Assistants will be required to reside in assigned residence halls while the programs they are responsible for are in residence (usually 1-3 weeks of the summer). Housing will not be provided when programs are not in residence.

  • $10.00 per hour.

 

General Qualifications

  • Housing Assistants must be single undergraduate students, at least 18 years old at the time of hire.

  • Attend Housing Assistant Training From June TBA – June TBA (about two weeks). Attendance at Housing Assistant Training is mandatory. There are no exceptions.

  • Attend an orientation and training sessions during spring quarter before summer employment begins.

  • Reside in Irvine and have the ability to get to campus within 10 minutes.

  • Proper visa status with work permission is required at the time of application for International students.

  • Must possess a valid California Driver License.

  • Upon training and certification, drive university vehicles safely and responsibly.

  • Will be required to perform physical tasks, i.e. taking out trash, climbing stairs, moving boxes, packing and unpacking supplies.
